Instructions for Oral Presentations

Presentation time and schedule:

  • Regular oral presentations are 12 minutes. Please make sure to strictly keep this time limit. Additionally, 2 minutes of discussion time is foreseen for each presentation.
  • The detailed program showing the time and place of your session will be published on the conference website and authors will be informed about their individual presentation slot via email.

Formatting instructions:

  • Presentations in .ppt, .pptx and .pdf formats will be accepted. If you prepare your presentation using Apple Keynote, please ensure that it displays correctly by testing it on a Windows PC.
  • Avoid including external links in your presentation, as the presentation computers might not have an internet connection.
  • Non-standard fonts must be embedded.
  • All images and graphs must be inserted as embedded files rather than linked objects.
  • Video files may cause technical issues. If you intend to use video material, please verify that it functions properly when submitting your presentation.

Presenting on site:

  • Please meet your session chairs inside the conference room at least 10 minutes prior to the beginning of your oral session and take a moment to familiarize yourself with the technical equipment. The detailed programme, including the time and location of your session, will be published on the conference website.
  • Information on where to upload your presentations prior to your session will be provided a few weeks before the conference.

Instructions for Poster Presentations

Poster Layout:

Your poster should be prepared in upright/portrait orientation in DIN A0 format: maximum width 33 inches (84 cm) and maximum height 47 inches (119 cm). Please ensure that all text is sufficiently large to be read comfortably from a distance of 1–2 metres.

Poster Design:

We do not prescribe specific design rules for posters, as many institutions have their own guidelines for how authors should format their posters.

For reference, you may consult the following videos:

Typically, a poster includes the logo of your institution as well as the conference logo.

Presenting Your Poster:

Three dedicated poster sessions will take place throughout the conference programme, each lasting one hour. Posters will remain on display for the entire duration of the conference, including outside the scheduled poster sessions.

The three sessions will be organised according to the conference themes. Poster authors will be informed in advance on which conference day their poster will be presented. During the designated poster session, all authors are expected to stand by their poster and engage with attendees as they circulate. The format is intentionally open, allowing participants to move freely between posters and discuss the work with authors in an informal setting.

Please note that no separate oral presentation will be given for posters. Oral presentations are reserved exclusively for contributions accepted for an oral session.

Poster Mounting and Removal:

Authors are responsible for printing the poster in advance and bringing it to the conference. On‑site printing is not available.

Please mount your poster on Monday afternoon, 14 September. Mounting materials will be provided.

How to locate your assigned poster board: a poster list will be displayed in the poster area for orientation. Each poster wall will also carry a sign indicating the author’s name, poster title, and poster number. Your poster number can be found in the conference programme. If you have difficulty locating your board, please contact a member of our staff. We will be happy to assist you.

Removal of Posters: Please do not remove your poster before the end of the conference. Posters form an integral part of the scientific programme and should remain on display throughout the event. Posters may be removed only after the closing session on Thursday, 17 September. Posters left behind after the conference will be discarded.
